Getting Started

The 4WD Membership Management System provides a complete online platform for managing your club membership. As a member, you can register, renew, manage your profile, track your skills, and access club newsletters – all from your computer or mobile device.

Logging In to Your Account

Custom Login Page: The club provides a dedicated login page that offers:

  1. Navigate to the “Member Login” page or click “Login” from the homepage
  2. Enter your email address and password
  3. If MFA is enabled, you’ll be prompted for your authentication code

Administrative Notes (For Club Administrators)

  • Private Documentation: Notes are only visible in the Competency Manager admin interface
  • Training Context: Record specific training details, conditions, or special circumstances
  • Audit Trail: All notes include who added them and when they were created or updated
  • Flexible Management: Notes can be added during initial competency assignment or updated later
  • Member Privacy: Notes are never displayed on member-facing pages or dashboards

When Notes Are Used

  • Recording specific training conditions (weather, terrain, vehicle type)
  • Noting areas where additional practice may be beneficial
  • Documenting exceptional performance or quick skill acquisition
  • Tracking refresher training requirements or recommendations
  • Recording any safety concerns or special considerations
  • Maintaining continuity between different trip leaders or assessors

Note for Members: If you have questions about your competency assessments or would like feedback on your progress, please speak with your trip leader or contact the club’s education coordinator. While you cannot see administrative notes directly, club leaders are always happy to discuss your training progress and development opportunities.

Member Messaging

The Member Messages page uses the same conversations as the club mobile app. Messages, unread state, replies, reactions, blocks, and reports remain consistent when you switch between the website and app.

When messages are waiting, the homepage chat icon and the My Membership action show a red unread badge and highlighted state. The visible badge displays counts up to 99 and then 99+; it refreshes about every 30 seconds while the page is visible.

Using Messages

  1. Open My Membership and select Member Messages, or, when messaging is enabled, use the chat icon beside Logout on the homepage.
  2. Choose a conversation, or select New message to find a directory member.
  3. Use Find groups to join an open club conversation.
  4. Type a message and select Send. New messages appear automatically while the page is open, and reading them clears the shortcut badges on their next refresh.

Only members who opt into the directory appear in member search. Unsent drafts remain in the current browser and do not transfer to the app. Use the message actions to reply, react, delete your own message, or report a concern to a moderator.

Members whose membership is not active can continue existing conversations and join open groups, but must renew before starting a new direct conversation.

Troubleshooting & Support

Common Issues & Solutions

I forgot my password

Use the “Forgot Password” link on the login page. Enter your email address and you’ll receive a secure reset link. Follow the instructions in the email to create a new password.

Payment not processing

Ensure your payment details are correct and your card has sufficient funds. Try a different payment method if the issue persists. Contact the club treasurer if problems continue.

Cannot access member areas

Check that your membership is current and you’re logged in properly. Clear your browser cache and try again. Ensure cookies are enabled for the website.

Family member details not updating

Ensure you have the correct permissions and all required fields are completed. Contact an administrator if you’re unable to make necessary changes.

Newsletter not displaying properly

Try refreshing the page or clearing your browser cache. Ensure you have a current membership and are logged in. Contact support if PDFs won’t download.

Competency records incorrect

Contact your trip leader or competency assessor to verify and update your records. Changes require administrative approval for accuracy.

For Club Administrators

Managing Competency Notes

Administrators can add, edit, and manage private notes for member competencies through the Competency Manager. These notes help maintain detailed training records and are only visible to authorized administrators. Use notes to document training conditions, special circumstances, or recommendations for future development.

Competency Assessment Documentation

When assigning competencies, use the notes field to record specific details about the assessment conditions, member performance, and any recommendations. This helps maintain continuity between different assessors and provides valuable context for future training decisions.
